Useful automation

Workflow automation for operational businesses

We automate the repetitive admin that eats into the working day, such as chasing documents and typing the same data twice, inside the way your business already runs. AI is used selectively. People review AI output and approve the decisions that matter.

Who it is for. Teams whose time goes on chasing, sorting and re-typing, and who want that taken off people without losing control of decisions.

Where time goes on repeat admin

  • Certificates, delivery notes and job paperwork arrive by email and someone sorts them by hand.
  • Reminders for expiries, overdue actions and missing records depend on one person's diary.
  • The same information is typed into two or three systems.
  • The weekly management summary has to be assembled by hand.

What we typically build, scoped to your process

What we typically build

Each is scoped per project.

  • Approval workflows that record who agreed what and when
  • Document processing and data extraction
  • Integrations with other systems
  • Reporting and management summaries across jobs, costs and compliance
  • Reminders for actions, expiries and missing records
  • Routine admin automation

  • Reminder sent: certificate expires soon

What you should see in the business

  • Less time sorting paperwork, certificates and job evidence
  • Reminders that no longer depend on one person's memory
  • Management summaries that do not need to be assembled by hand
  • A record of who approved what
  • People kept in control of decisions, with the routine work taken off them

How it could work in a real business

Illustrative scenario

An approval and reminder flow

Requests, approvals and expiries that depend on people remembering. Each line is a typical build, scoped per project. Not a customer project.

  • TodayRequests arrive by email and phone.

With one connected systemA request is logged with who raised it.

  • TodayApprovers are chased by message.

With one connected systemThe approver is reminded automatically.

  • TodayNobody can say who agreed what.

With one connected systemEach approval records who agreed and when.

  • TodayExpiring certificates are noticed late.

With one connected systemA reminder goes out before the expiry.

  • TodayThe weekly summary is built by hand.

With one connected systemA summary is drafted from the records for a person to check and approve.

Sectors this can be configured for: Construction, Telecoms, Facilities management, Commercial cleaning.

What shapes the cost of this system

Automating one process can sit in a Starter System. Work that spans several departments or systems, or uses AI workflows, may fit Advanced / Enterprise.

  • Starter System Digitising one focused process.
  • Advanced / Enterprise Complex requirements that span teams, systems or departments.

Hosting and support are agreed with you up front. We don't publish figures for them because they depend on what is built.

Tell us about your process in the form. We reply to set up a short conversation to talk through the scope level that fits and what it is likely to cost.

What moves the cost

  • How many processes are automated, starting with one
  • Which systems each process has to read from or write to
  • Whether AI is used, and how much human review its output needs
  • The approval rules and reminders each process needs

From first conversation to day-to-day use

01

Understand the process

We look at where time goes on repetitive admin and pick the one or two tasks that would make the biggest difference.

02

Design around you

We separate the steps that follow clear rules from the ones that need human judgement, and decide what stays with people.

03

Show the proposed solution

You see the proposed flow, including where a person reviews and approves, before anything is switched on.

04

Build and test in stages

We build plain rules and reminders first, use AI only where it earns its place, and test each stage with you.

05

Support rollout and adoption

We start with one process while people check the output, and extend it only when the first step has proved useful.

Not sure where to start? That is what the review is for.

Questions people ask

Do you use AI for everything?

No. Many tasks are better handled by plain rules, reminders and workflows. AI is used selectively, where it genuinely helps, for example reading a document or drafting a summary for someone to check.

Does the AI make decisions?

No. People review AI output and approve the decisions that matter.

Can you connect to the systems we already use?

Integrations are scoped per project. Whether a connection is practical depends on the other system, and we say so plainly during scoping rather than assume it.

What does it cost to run once it is built?

Hosting, support, third-party licences and any AI usage charges are scoped per project and are agreed with you, not assumed. They are separate from the cost of building the automation.

Where should we start?

With one process that you can describe in a few sentences and that someone dislikes doing. The free operational review is the place to find it.
