The paperless journey

Replace paper forms and spreadsheets with a paperless workflow

The paperless journey connects the work done on site with the office. We replace paper job sheets, site forms and spreadsheet trackers with digital workflows built around your process, one stage at a time, so information is captured once and seen by everyone who needs it.

Who it is for. Contractors and field-service businesses where engineers and supervisors still fill in paper and the office still retypes it.

What paper and spreadsheets are costing you

  • Job sheets, checklists and delivery notes are written by hand and typed in later.
  • Completed forms arrive days after the work, or arrive incomplete.
  • Each supervisor keeps their own spreadsheet, so there are several versions of the truth.
  • Approvals and invoices wait for paper to reach the office.

What we typically build, scoped to your process

What we would typically build

Each is scoped per project.

  • Digital versions of your job sheets, checklists and site forms
  • Photo and signature capture against the job
  • One job record that replaces the spreadsheet trackers
  • Approvals recorded with who agreed and when
  • Reminders for missing or overdue forms
  • Reports for managers drawn from the same records

What you should see in the business

  • Forms captured once, at the point of work
  • Fewer lost, late or illegible records
  • One shared record in place of several spreadsheets
  • Approvals that do not wait for paper to arrive
  • Managers who can see progress without asking for it

How it could work in a real business

Illustrative scenario

A field team moving from paper to digital forms

A supervisor's checklist, a job sheet and a tracking spreadsheet that never quite agree. Not a customer project.

  • TodayEngineers complete a paper job sheet at the end of a visit.

With one connected systemThe visit is recorded on a digital form before the engineer leaves.Built to your requirements.

  • TodayThe sheet is handed in or photographed and sent later.

With one connected systemThe record reaches the office as soon as it is saved.

  • TodayThe supervisor updates a tracking spreadsheet from the sheets.

With one connected systemThe job record updates from the form, with no second entry.

  • TodayMissing sheets are noticed when someone goes looking.

With one connected systemA reminder flags a form that has not been completed.Built to your requirements.

  • TodayApproval waits for the paper to be checked.

With one connected systemThe approver sees the completed form and records their decision against the job.

Sectors this can be configured for: Construction, Telecoms, Facilities management, Commercial cleaning.

Does this look like how your business runs today?

What shapes the cost of this system

Replacing a single form or tracker can fit a Starter System. Replacing several that feed one connected record may fit a Business System.

  • Starter System Digitising one focused process.
  • Business System Several connected workflows working together.

Hosting and support are agreed with you up front. We don't publish figures for them because they depend on what is built.

Tell us about your process in the form. We reply to set up a short conversation to talk through the scope level that fits and what it is likely to cost.

What moves the cost

  • How many forms and spreadsheets are replaced, starting with one
  • What each digital form has to capture, such as photos and signatures
  • Which other systems the records must feed
  • How much existing spreadsheet history needs bringing across

From first conversation to day-to-day use

01

Understand the process

We collect the forms and spreadsheets you use today and follow each one from the person who fills it in to the person who relies on it.

02

Design around you

We decide which to replace first, what each digital form must capture and who needs to see it, so the new version fits the job rather than the other way round.

03

Show the proposed solution

You see the proposed digital forms and the record they feed, on example screens, before anything is built.

04

Build and test in stages

We replace one form or tracker at a time. Where it helps, paper and the new form can run side by side while people check the new version works.

05

Support rollout and adoption

Teams move over in an order that suits the business, and we support the new forms as the way you work changes.

Not sure where to start? That is what the review is for.

Questions people ask

Can paper and digital forms run side by side at first?

Where it helps, yes. We can replace one form at a time and let the old and new versions overlap while people check the new one works. The order is agreed with you when the specification is agreed.

What happens to the spreadsheets we use now?

We look at what each one actually does, then agree what moves into the new record and what stays where it is. Bringing existing history across is scoped per project.

When is an off-the-shelf forms tool enough?

If your forms are simple and stand alone, a ready-made form tool may be all you need, and we will say so. Bespoke work earns its place when the forms have to feed one job record, approvals and invoicing.

How do digital forms help us get invoices out?

Evidence and sign-off are attached to the job as the work is done, so the office is not waiting for paper to arrive before it can invoice. Whether payment follows is a matter for your customer and your terms.

How long does delivery take once the specification is agreed?

Once the specification for the forms is complete, delivery takes one week for the scope it describes. Work beyond that scope is agreed separately before it starts.

Where do we start?

With one form or tracker that causes the most re-typing or chasing. Bring an example of it to the free operational review and we will talk through what replacing it would involve.

Next step

Bring one paper form to the review.

Book a free 20 to 30 minute review and bring an example of a form or spreadsheet you want to retire. We will talk through what replacing it would involve.
